Contract to Close Coordination

  1. Review purchase contract and addenda for completeness.
  2. Create or update file in ARTI and set up ARTIminders.
  3. Update MLS in coordination with office staff
  4. Send an introduction email to the client introducing transaction coordinator role
  5. Open escrow with title company, distribute PR, and maintain communication
  6. Receipt or verify earnest money deposit
  7. Open file with lender and maintain communication
  8. Schedule property inspections
  9. Assemble and distribute seller’s disclosures
  10. Set up home warranty
  11. Schedule repairs (If needed)
  12. Schedule appraisal and confirm completion
  13. Complete document receipt
  14. Verify all documents are compliant and ready to be submitted for closing
  15. Schedule closing
  16. Provide client, agent, and firm a complete copy of the closing file.

Listing Coordination

  1. Review listing agreement, addenda, and data form for completeness
  2. Enter in to ARTI and set up ARTIminders
  3. Enter into MLS in coordination with office staff
  4. Send an introduction email to the client introducing transaction coordinator role
  5. Order photos and schedule shoot
  6. Check HOA sign rules
  7. Order signs or schedule with agent’s sign service
  8. Obtain HOA CC&Rs, Minutes, Budget, Financials, and other disclosures
  9. Obtain completed Seller’s Property Condition Disclosure
  10. Complete Home Warranty Data Form and application
  11. Order and distribute Listing PR from Title Company
  12. Verify Listing on MLS, Zillow, Realtor, company websites
  13. Help post to Facebook
